  • You’ll be responsible for:

  • Maintains diaries, coordinating and prioritising meetings, booking rooms, preparing documentation including presentations.

  • Maintains and assists with expenses and timesheet systems.

  • Performs general administrative duties to include but not limited to entering data, relaying messages, meeting and greeting visitors.

  • Prepares and updates agendas, reports and documents internally and externally using Microsoft Office applications including Excel, Word, Outlook and PowerPoint.

  • Preparing Engineering workflow/data reports on a regular basis.

  • Manages new starters, supporting the onboarding process and site inductions ensuring those being inducted/onboarded have the right documentation.

  • Deals with sensitive HR information.

  • Supports the undertaking of end of year appraisal reviews.

  • Supports functional leads with ensuring teams are up to date in mandatory training.

  • Provides support to the wider admin and project team.

  • Potential of undertaking duties under delegation.

  • Maintains accurate filing an archiving system in accordance with QA procedures where necessary.

  • Works collaboratively towards the common goal of net zero carbon transition and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.

  • Itinerary planning – handling UK, and occasionally international, travel and hotel arrangements, considering time zones where applicable.

  • You’ll need to have:

  • Demonstrated experience of IT skills covering Microsoft Office applications including Excel, Word, Outlook and PowerPoint.

  • Experience using Office 365 Applications and Apple Devices.

  • Writing and proof-reading skills with attention to spelling and grammar.

  • Demonstrated typing skills/ability.

  • Proven relevant experience in a PA capacity.

  • Proven experience managing multiple diaries.

  • Stakeholder management experience.

  • Strong written and verbal communication skills.

  • Time management skills.

  • Self-motivated to deliver what is required for the business.

  • You’ll also have:

  • Experience of web-based applications/ software.

  • Experience with InDesign.

  • Previous experience within the Construction industry.

  • Comfortable in a Matrix organisation.
