PA to Chief Information Officer (CIO)

Salary: London from £31,600 to £42,400

The team/department 

We are looking for an experienced Personal Assistant (PA) to provide support to the CIO within the Technology business area.

This role sits within the Data, Technology and Innovation (DTI) division, where it’s imperative that teams work collaboratively to deliver value-add technology solutions. The team supports internal technology and data requirements as well as external platforms that host crucial data.

The successful candidate will need to demonstrate good organisational skills with a strong eye for detail, the ability to work under pressure to tight deadlines whilst maintaining quality, effectively prioritise a demanding workload for the CIO and their own and have strong interpersonal to communicate and build relationships across the division and wider organisation.

What you will be doing (the role) 

  • Strategically managing the Director's schedule to maximise efficiency and flexibility for frequent short-notice changes whilst keeping the Director informed of schedule changes and priorities, arranging conference/meeting rooms, and ensuring all necessary materials are prepared

  • Proactively following up on the Director's committee actions by distributing and effectively managing tasks that require collaboration across the division; this includes handling emails and written correspondence, noting immediate action deadlines, and addressing them as needed

  • Taking the initiative to chase actions on the Director’s behalf to prevent overdue tasks, tracking broader Directors Office actions (ExCo Director, Private Secretary, PA), and contributing to various Senior Leadership Teams

  • Coordinating divisional meetings and managing communications on behalf of the Director; ensuring the Director has adequate time for reading, editing, and providing feedback on various papers external publications, internal documents, strategic communications) and organising online day packs with the appropriate materials in OneNote

  • Routine administration and inquiries via email and telephone, filtering and addressing them independently whenever possible, including managing records for the Directors Office

  • Assist with divisional projects and coordinating department-wide initiatives, including major events such as Departmental and Divisional away days and external events supporting the supplier community

    The skills and experience you will have 

    Minimum

  • Proven experience in providing administrative and executive support to senior leaders, with a strong focus on strategic diary management

  • Highly skilled in utilising Microsoft Office packages, with demonstrated expertise in OneNote in previous roles

  • Essential

  • Strong ability to take initiative, plan ahead, prioritise tasks, and manage workload independently

  • Resilient under pressure, capable of meeting tight deadlines while maintaining high standards of quality
