The PA Role

We are currently recruiting for a PA to provide one-on-one administrative and professional support for the CEO, CFO and MD of AKA Group.

The individual be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience performing administrative duties and providing support to senior management. The individual should be diplomatic, highly confidential and sensitive to all information. Furthermore, the individual will have an understanding of industry wide issues, strategy, people and culture.

This PA will act as the first port of call for the Group Executives and the conduit to all PAs and EAs within the AKA Group, ATG Entertainment and external clients. They will contribute to Group and agencies’ delivery and the achievement of business and client objectives in line with the Group’s vision.

The role is mainly office based so we would require the PA to work from the central London office 4 days a week. We will offer the right candidate the opportunity to work flexibly on the days where there is no specific requirement to work from the office.

Requirements

Key Characteristics

· Work in a proactive and autonomous fashion with minimal supervision and always one-step ahead

· Provide a consistent and accurate flow of information to and from Executives

· Always demonstrate discretion and diplomacy

· Awareness and appreciation of key stakeholders from within the business and existing/ potential clients

· Respond to ad-hoc requests and challenges in a calm, professional and confident manner

· Contribute to the success of wider agency projects by forward planning and managing coordination

· Desire to pursue professional development and training opportunities to expand job knowledge and skills

Key Responsibilities

· Provide administrative support for the Group Executives to protect their time and ensure a smooth-running team by prioritising tasks and projects

· Undertake key administrative tasks including diary management; inbox management; scheduling meetings and managing time conflicts; confidential document creation and filing; travel and accommodation arrangements; compiling of expenses and timesheets

· Ensure meeting preparation is carried out: rooms are booked and set up in advance with necessary invites and equipment (including software such as Teams/Zoom), materials are prepared (including collation of documents/presentations in advance), minute taking is completed when required, any necessary refreshments are organised

· Provide professional support by preparing and compiling weekly status reports; draft client or Board presentations; monthly management documents; assisting with HR documents/processes including appraisals and holidays; summarising reports; general correspondence and other written communication when required

· Implement and maintain an accurate hard and soft copy filing system for Group, ensuring work areas are kept in good order

· Coordinate management days, entertainment, and other off-site events

· Possess an understanding of and interest in the agency business and industry wide news, strategy, people, product innovation and culture

· Perform an employee relations role by being aware of potential issues within the Group and agencies, taking action to prevent escalation and keeping directors informed

· Communicates on behalf of the Executives when required

Key Requirements

· Proficient in Microsoft 365

· Clear, concise and effective written and verbal skills

· Strong administration skills with the ability to prioritise and organise workload/tasks

· Deliver against responsibilities allocated in a timely fashion

· Proactive approach to anticipating and dealing with opportunities and challenges on behalf of the Executives, ensuring that they are kept informed as relevant

· Ability to work independently, take responsibility and demonstrate initiative

· Manage confidential information, ensure it is protected and received/delivered in the correct manner

· Represent the Group and agencies in a positive light, both internally and externally

Salary: £37 - £40k (dependent on experience)
