The Role

We are looking for an administrator to work as part of a small team supporting the operations department. Assisting with the day to day administration and co-ordination of activities across the departments and diary management and meeting support for the Chief Operating Officer and senior operational leadership team.

This maybe your first step into work or you could have been working in an administrative role previously and are looking for a new challenge. We’re committed to career development and this role is an excellent opportunity to develop your skills. 

You will be reliable, understand the importance of attention to detail, be willing to deliver excellent service and take ownership of the tasks that come your way. You will be curious and have the courage to ask questions and clarify information in order to have a full understanding. 

What you’ll do:

  • Diary management and arrangement of appointments/meetings both internally/externally for COO and senior operational leadership team.
  • Taking and distributing meeting minutes and action summaries and reports for committee and departmental meetings.
  • Making arrangements for visitors to site, including room bookings/catering requests.
  • Administrative support for recruitment activities.
  • Organisation of Team events/meetings for the Operations team.
  • Co-ordination of team inductions for new starters/visitors.
  • Arranging visas and booking travel both nationally and internationally.
  • Submitting and/or approving expenses claims for science and operations teams.
  • Keeping the on-site rota up to date with staff changes.
  • Support for onsite events/meetings – ensuring meeting rooms are set up/booking visitors in with reception etc.
  • Ad-hoc administrative assistance.
  • Willingness to undertake additional duties as required.
  •   What you will need to succeed in this role:

  • Friendly, can do attitude.
  • Confident in building good working relationships with individuals at all levels, including senior teams, board members, leading industry figures.
  • Commitment to delivering high level of service.
  • Excellent written communication skills.
  • Strong technology skills to manage work (Excel, Word, PowerPoint).
  • Ability to manage multiple tasks and commitments well and successfully meet deadlines.
  • Confidential – managing sensitive data appropriately.
  • Good Sense of humour and work well in a small team.
