Executive Assistant

12 month fixed term contract

Job summary

Independently performs advanced, diversified and confidential administrative support and project management activities for members of the International Leadership Team (ILT) Will be supporting three International Leadership Team members by handling a wide variety of situations involving administrative office functions; relieving ILT members of all administrative detail. Performs all duties in a highly confidential and professional manner.

Specific responsibilities

  • Handles multiple tasks simultaneously in a fast-paced environment. Anticipate and manipulate outcomes for continuous improvement. Continuously learns.
  • Plan and coordinate complex administrative assignments and special projects within and/or across functional areas. Conduct research, gather, organise, assess information, and prepare recommendations.
  • Manage an extremely active calendar of appointments; prioritise meeting requests and handle conflicts or scheduling changes proactively
  • Maintains and updates administrative records; processes and tracks expense information related to leader/department activities
  • With the highest degree of accuracy and detail, prepares routine and non-routine correspondence, reports, material for presentations and other documents as appropriate. 
  • Co-ordinates International business townhalls, bulletins, newsletters, presentations and other documentations/meetings as required
  • Schedules travel arrangements both international and domestic, meetings and related set up arrangements
  • Screens telephone calls, visitors and correspondence of a highly critical business nature; resolves routine and complex inquires as appropriate
  • Supports in the preparation of the quarter-end materials
  • Manage executive(s) team events, regular meetings, activities and projects. Attend and minute meetings as required
  • Serve as trusted resource and confident to executive(s) and their teams
  • Act as a point of contact for high profile visitors and help prepare agendas
  • Works with highly confidential information
  • Can operate office equipment, software and mobile tools. Supporting the executive(s) where required 
  • Work closely and effectively with Global Executive Assistants. Provide backup and coverage as needed for LT members
  • Performs additional responsibilities as requested to achieve business objectives
  • Company requirements

    Compliance; ensure compliance with business systems, processes, certification schemes, regulations and legislation relevant to the scope of your role. Support internal quality controls and audits to demonstrate compliance.

    Job holder requirements

  • 5 – 7 years of administrative support experience
  • 3+ years’ experience supporting senior leadership positions
  • Global experience working across time zones and different cultures
  • Excellent organisational, time management and decision-making skills
  • Exceptional interpersonal skills; written and verbal communication skills
  • Strong IT skills – proficient in Word, Excel and Powerpoint especially
  • Proven expertise handling detailed work in an independent, professional and confidential manner
  • Ability to handle multiple assignments simultaneously in time critical situations with an ability to prioritise work
  • Ability to be flexible in conducting work activities under continually changing schedules, business conditions and priorities
  • Ability to support multiple senior executives
  • Ability and willingness to travel as needed to achieve business objectives
  • Ability to demonstrate high levels of integrity, influence and serve as trusted confidant
  • Creativity and ability to set up and improve processes
  • Calm under pressure, be patient and have resilience
